How to choose the right CRM for your business
The right CRM should support the way your business works. At JNS, we listen to your needs, help select the right fit, and handle the setup, configuration, testing, training, and launch—then hand the system over to your team.
Five platforms. Six decision factors.
We look beyond the demo. Our selection process considers setup, total cost, everyday use, customization, administration, and growth—so the recommendation fits your business, not just a feature list.
HubSpotA connected starting point for marketing and sales.
Setup
Start with one pipeline, a clean import, and email/calendar connections. Define lifecycle stages before turning on automation.
Cost
Free tools can support an initial trial. Sales Hub Starter lists $20 per Core Seat/month in the product catalog; promotions and billing terms can differ. Price advanced Sales seats, marketing contacts, onboarding, and added Hubs separately.
Everyday use
A useful shortlist choice when website inquiries and sales handoffs should share a contact history. Have a salesperson run a complete day in the trial.
Customization
Properties, pipelines, and workflows depend on edition. Check the tier needed for advanced reporting or a custom data model.
Administration
Assign an owner for contact quality, user permissions, lifecycle rules, and automation. More connected Hubs mean more rules to maintain.
Growth
Can expand across customer-facing teams. Model the next subscription tier and contact/seat growth before committing.
SalesforceA broad platform for teams with more complex processes.
Setup
Starter can be a contained launch. A complex rollout needs a designed data model, migration plan, permissions, and acceptance tests.
Cost
Starter Suite lists $25/user/month, billed monthly or annually; Pro Suite lists $100/user/month, billed annually. Budget implementation, integrations, support, storage, and any additional products.
Everyday use
Worth testing when several roles need different views of a shared sales process. Keep each screen focused on what that role actually does.
Customization
Deeper automation, applications, and customization are edition dependent. Demonstrate your hardest approval or reporting requirement in the exact proposed edition.
Administration
Plan a named administrator and a controlled change process. More custom objects and flows increase testing and documentation work.
Growth
A strong candidate for complex teams when the business can support the ownership and implementation effort. Expansion is a project, not just more seats.
Zoho CRMA flexible option for teams willing to configure their process.
Setup
Map fields, imports, assignment rules, and your pipeline first. Start with a small configuration before connecting a wider Zoho app stack.
Cost
A free edition supports three users. Paid editions use per-user pricing; compare Standard, Professional, Enterprise, and Ultimate on the live pricing page. Include separate apps, integrations, migration, and support.
Everyday use
Shortlist it when a team wants sales tracking with room for process changes. Test task completion and mobile work with the people who will use it.
Customization
Workflows, process tools, custom functions, and permissions vary by edition. Verify your required feature rather than assuming every Zoho product is bundled.
Administration
Give field definitions, duplicate handling, and workflow changes a clear owner. A broad feature set still needs an intentionally simple interface.
Growth
Can support a wider business toolkit, but confirm the boundaries between CRM, CRM Plus, and other Zoho subscriptions.
PipedriveA sales-pipeline option for teams focused on the next action.
Setup
Build stages around real sales decisions, import clean deals, and assign the next activity. A narrow sales use case makes the pilot easier to scope.
Cost
Lite lists $14/seat/month and Growth $39/seat/month, billed annually. Add lead generation, campaigns, projects, and other paid extras only where needed.
Everyday use
A useful candidate when deal visibility and follow-up activities are the priority. Test how quickly a rep can update a deal after a call.
Customization
Pipelines, fields, automation, and reports vary by plan. Premium adds enhanced customization; validate unusual data relationships in a trial.
Administration
Someone still needs to own stage definitions, stale deals, access, integrations, and activity discipline. A simple launch should stay simple.
Growth
Often a practical sales-focused shortlist choice. If requirements expand into service operations or complex marketing, evaluate the additional systems and handoffs.
Microsoft Dynamics 365 SalesA candidate for businesses built around the Microsoft ecosystem.
Setup
Plan the environment, data model, security roles, migration, and connections. Existing Microsoft experience can help, but does not replace implementation planning.
Cost
Sales Professional lists $65/user/month, Enterprise $105, and Premium $150, paid yearly. Price related applications, capacity, integrations, and any usage-based AI costs separately.
Everyday use
Shortlist it when sales work needs to connect with Microsoft 365 and broader business systems. Test the workflow in the actual apps your team uses.
Customization
Enterprise includes advanced customization. Confirm edition limits, Power Platform licensing, integration requirements, and test environments with the implementation team.
Administration
Plan CRM ownership alongside environment and security administration. Document who can change data, workflows, and business rules.
Growth
Can fit a broader Microsoft business application strategy. Assess the whole system and licensing plan before choosing it just because you already use Outlook.
We start with what matters to your business.
Setup + administration
We plan the data import, connected tools, training, and ownership before the platform is configured.
You know what JNS will deliver and what your team will own at handoff.
Cost + daily use
Can the team complete real work quickly, at a cost that includes the features they actually need?
Time lost to workarounds belongs in the budget.
Customization + growth
Can the CRM support your next process change without making every change a development project?
Test next year's requirement as well as today's.
Where might your CRM project begin?
Choose the situation closest to yours to see how we shape a shortlist. We confirm the recommendation after listening to your goals, budget, workflow, and team.
Make adoption the first test.
Begin with Pipedrive and HubSpot if the core problem is missed follow-up and unclear deal status. Include Zoho CRM if flexible configuration is a priority. Have two team members capture a lead, set a task, and update a deal without coaching.
Prove the hard workflow early.
Include Salesforce, Dynamics 365, and Zoho CRM when permissions, approvals, multiple teams, or unusual data relationships drive the decision. Draw the process first. Ask each vendor to demonstrate it in the quoted edition, with an estimated administration workload.
Test the connection—not just the brand.
Include Dynamics 365 if Microsoft 365 and connected business applications are central to your work. Compare another option too. Test record access, email logging, reporting, and the exact licensing needed for integrations.
The cheapest seat can cost more to run.
Compare the full first year. These fictional proposals use five users, a $50/hour internal labor rate, and twelve months. They are examples—not vendor quotes or measured product performance.
Both bars share a $6,000 scale. Proposal B has a higher seat price but needs less setup and administration in this example.
See the assumptions and arithmeticUse these categories when you request quotes.
| Cost component | Proposal A | Proposal B |
|---|---|---|
| Seats × 5 users × 12 months | $20 × 5 × 12 = $1,200 | $38 × 5 × 12 = $2,280 |
| Setup at $50/hour | 40 hours = $2,000 | 20 hours = $1,000 |
| Admin at $50/hour | 4 hours/month = $2,400/year | 2 hours/month = $1,200/year |
| Integrations and extras | $400/year | $500/year |
| First-year total | $6,000 | $4,980 |
Also request a second-year estimate. Separate one-time migration and training from recurring subscriptions, storage, contacts, messaging, AI usage, and administration. Ask what happens when users or record volumes double.
JNS handles the work—from selection to launch.
You do not have to research every platform, become the setup expert, or piece the rollout together yourself. We guide the decision and do the implementation work with you, around an agreed plan.
Listen and map your needs
We learn how inquiries arrive, how your team follows up, what is getting missed, and what you want to improve. Together, we define the essential workflows, budget, integrations, and growth needs.
Select the right fit
We compare the platforms and editions against those requirements, explain the tradeoffs, and help you choose a CRM that fits your business and the people using it.
Set up and configure
We set up the platform and configure the agreed pipelines, fields, forms, routing, permissions, and automation. We prepare the data and connect the tools included in your project.
Test and implement
We test realistic lead and customer journeys, handoffs, notifications, permissions, and reporting. We work through issues and confirm the agreed workflows before launch.
Train and go live
We train your team using the work they will actually do, then coordinate the move into the live system so people understand their roles and next actions.
Hand off to your team
We hand over the configuration, practical instructions, access responsibilities, and routine administration tasks. Your team receives a system they understand and can use day to day.
